Creating the Agenda

First, make sure that the previous weeks agenda (in /p/WebTree3/Private/Agendas) in Coming.html has been copied to the appropriate yyyy.mm.dd.html file, and the the previous week's Coming.txt file has been copied to the appropriate yyyy.mm.dd.txt file.

Then, either fill in this form or copy the previous agenda and edit its text directly. If you use this form, you will likely want to open a second browser window and repeatedly open the created Coming.html. Use your browser's Back button to get back to this form. You may also want to copy a lot of data directly from the previous week's agenda.

When done filling in the fields on the form, press the "Create Coming.html" button at the bottom to generate a new Coming.html file.

Meeting info

Fill in your name, etc.

By pushing the "Advance Week" button below, you can update some of last week's data to be this week's data.

Caution: Hitting "Advance Week" multiple times will delete all upcoming chair and tech presentation information.

Check last weeks minutes and hopefully just cut-and-paste for all but the fouth one. Check the attendance list to get the fourth one.

For the pictures, look in /p/WebTree3/Private/Agendas/Images and if there isn't a picture for someone, ask them for one. All you need to enter below is the name of the file without the path to the Images directory.

Technical Presentation

Ask the person that is supposed to be tech presenter for an abstract (this also serves as a reminder to him/her). Give them enough warning - anything less than 48 hours is probably not enough as the presenter may want to prepare overheads, etc. Include the abstract in the agenda.

You don't have to do anything for this.

To Create Coming.html

Click on the button below. Then check the agenda to make sure it looks okay. If not, return to this page, make additional changes, and click the button below again. In rare cases, you might have to edit the Coming.html file directly.

If there are problems (such as the Coming.html file not getting updated), then try deleting the existing Coming.html file (or possibly copying it to YYYY.MM.DD.html). If the Coming.txt file is not owned by 'nobody', you may also need to delete it.
